A hotel differs from a regular merchant because it does not know in advance how much to charge you. Besides the room cost, there may be minibar, laundry services, damages, late checkout fees, etc. Therefore, hotels perform a pre-authorization – they block an amount higher than the actual order, and at the end of your stay they charge the real total.

How Much Is Usually Blocked

Budget hotels (2-3 stars). Often $50-100 on top of the room rate. Sometimes they don't block anything – payment is made at check-in or via online check-in.

Mid-range (4 stars). $100-300 for incidentals. For example, a hotel at €120/night for 3 nights will block €360 for the stay + €150 for extras = €510.

Premium (5 stars). Sometimes $300-1000 for incidentals. Especially resort hotels with a wide range of services.

All-inclusive resorts. Often less because many things are already included. But sometimes they block large amounts for potential alcohol packages.

What's Wrong with a Default Virtual Card

If your virtual card has $400 and the hotel cost is €350, it seems enough. But the hotel blocks €500 (cost + incidentals). The authorization fails, the card is declined at check-in, and you are left with a problem at the reception.

Solutions

Top up the card with a buffer. For the hotel, load an amount equal to the cost + 30-50% (for mid-range) or + 100% (for expensive and resort hotels). After checkout, the excess will be released from the hold within 5-14 days and returned to the main account.

Ask the hotel in advance. Large chains (Hilton, Marriott, Accor) have standard incidental amounts. You can find them in the booking terms or ask the reception beforehand.

Use a bank card for the hotel, virtual card for everything else. If you have a regular bank Visa with a limit of $5000+, it's more convenient to give it at the hotel as a guarantee, and use the virtual card in shops, cafes, taxis.

Cash instead of card for incidentals. Some hotels accept a cash deposit instead of a card hold. This is especially convenient in Asian countries. Ask at check-in.

After Checkout

The hold is automatically released within 5-14 days. Sometimes it can take up to 30 days due to bank processing times. If the hold remains after 30 days, contact VirtCardPay support or the hotel merchant to request the authorization be released.

What Not to Do

Do not block or close the card immediately after checkout if there is a hold on it. If the card no longer exists, the hotel cannot properly complete the transaction, and the financial cycle will be stuck. It's better to wait for the automatic release of the hold, then – if needed – block it.
